Synchronize Google services: 9 Tips for Mail, Calendar & Co.

If you have a new Android phone and want to transfer the data from the old iPhone to the new device, or simply transfer your important contacts and calendar entries from the notebook to your mobile device, Google services help with the right tricks and tools



Tip 1: Send and synchronize mail


This means that mails can be matched easily with Google and its operating system Android, regardless of programs and platforms that you use on notebooks or home PCs. It is more difficult with calendars and contacts. So that they are always up-to-date on several devices, additional tools such as MyPhone Explorer have to jump in.

Whoever already handles his e-mails via a Google-address is already on the safe side in the process of cyberizing his electronic mail anyway. The e-mail runs over the servers of Google and can be received independently of the operating system on all possible devices with the most different programs. It does not matter if you use Outlook or Thunderbird, the mails are always kept in sync.

As a newcomer to Android, it becomes somewhat more complicated, because you probably already use an e-mail address of another provider, such as GMX or Telekom. If you want to receive these mails on your Android device, there are several ways to do this. In the simplest variant, create a new account from your Android device using the Account settings via Add Account.


Depending on which mail provider you are using, you can also process your correspondence via an app. This is the case, for example, with GMX, Web.de or Yahoo. It is also possible to keep the mails on the PC at home, provided that copies of the mail remain on the server. With these two methods, you have two mail apps on the device. You can work around this problem by redirecting your mails to your Google account.


This redirection is set up in your Google account settings via your browser: In the Google Mail window, click on Settings and in the next window click on Accounts and Import. If you receive error messages, your mail provider will not be able to retrieve the mails, or only after changing this option in your provider's mail settings.


If you have set up your Google mailaccount via the browser, you can now access and manage your e-mails on all devices. It does not matter if you read your e-mail via Outlook or Thunderbird on your notebook or on the go via tablet or smartphone.


When setting up the mail account in Outlook or Thunderbird, you only have to make sure that you select the option to retrieve the mail via IMAP and thus ensure that your mails are saved on the server. So, when setting up the mail, make sure that the following servers and ports are set:


Keeping the calendar up to date on several devices also works quite smoothly with Google's calendar. It is, however, more complicated if existing calendars are to be synchronized. You can make the settings via your Google account in your web browser. To do so, please sign in with your Google name and password. Switch to your calendar using the Apps button.


On the left side of the navigation bar, select My Calendar and click the down arrow of the calendar you want to synchronize with Outlook. From the context menu, select Calendar Settings. Verify that the selected calendar is shared using the Share this calendar tab. On the Calendar Details tab, click the ICAL.

Use the key combination CTRL + C to copy the Internet address displayed there. Then, change to Outlook 2013 and choose Information from the File menu. Click Account Settings and select Account Settings from the drop-down menu. In the next window, go to the Internet Calendar tab and click New.


Paste the copied address in the next window, and then click Add. Then, in the Folder Name field, rename the calendar and close the window with OK. Also, make sure your Google Calendar sharing includes writing privileges.


Experienced Thunderbird users know the problem with Mozilla's mail program: a calendar function is only available with an extension like Lightning. Install it through the add-on manager. Once the calendar is enabled in Thunderbird, it can be linked to Google's administrator.


To do this, copy the address (ICAL) of your Google Calendar as described in Tip 3. Then, change to Thunderbird's Calendar, and then right-click the context menu in the navigation bar on the left. Select New Calendar


Tip 5: Transfer contacts to Google


In the next step, enable the option On the network as the location. Then select the calendar format iCalender (ICS) and insert your Google calendar address. Finally, create a name in the next window. You can set the calendar to be synchronized by using the contextual menu of the calendar.


Contacts can be easily transferred to Google from mail programs such as Outlook 2013. The simplest way to do this is through the export function of Outlook. However, the contacts are only transferred and not synchronized. You will find the export in the File menu. In the Export Wizard, select the format separated by delimiter.


In the browser, go to your Google contacts, and then click the Import Contacts entry on the left, and then locate the exported file. Click on Import to start the address import. Then create the command Find / Duplicate. The export of address books works in a similar way also with other mail programs. You must make sure that a .csv file is created with a comma as separator.

Outlook contacts can also be synchronized easily with the free GO Contact Sync Mod tool. Enter your user name and password during installation. Make sure the Sync Contacts check box is selected. Finally, set the synchronization interval in minutes to meet your requirements. Click on Sync to end the setup. If you have a business account with Google, you can synchronize addresses and appointments with the Google Apps Sync tool for Outlook. With a test version everyone can try the synchronization.


The free tool MyPhoneExplorer not only allows you to synchronize calendars and contacts, but also call lists, notes or short messages. However, the synchronization with newer Android devices is problematic. If you connect your smartphone or tablet to the PC via a USB cable, you need to activate USB debugging or the charging function on your mobile device.


For current devices, this is only possible by connecting the developer options. The installation of the app on the mobile device provides a way out. Afterwards, the connection to the desktop application can take place over WLAN. You should also set a code to secure the WLAN connection as requested. Start MyPhoneExplorer on your PC, and then click File / Connect. When the connection is established, the data is synchronized.


On the PC, you can access the various functions, ie SMS or files, via the navigation bar of the PhoneExplorer. If you want to back up the contents of your mobile device, select Extras / Create backup. Specify the folder where you want to back up the data, and then click Save.


When syncing with tools like MyPhoneExplorer, the data is updated at the time of the connection and synchronized on the mobile device and the PC. If you change an entry, for example in the calendar, this change must be transferred to the smartphone or tablet via the Synchronize button.


Thanks to cloud services and the appropriate app, data can be transferred to the PC without any problems from vomiPhone and can then be transferred to the Google empire.
